1. Information we collect
When you request an insurance quote or use our service, we collect personal information necessary to evaluate carrier options and service your account:
- Contact details: Name, email address, phone number, mailing address.
- Messaging preferences: Whether you voluntarily opt in to SMS messages and the date and time of that choice.
- Risk & coverage details: Vehicle information (VIN, make, model), driver history, property specs (for home/renters), current policy details if you upload a dec page.
- Document uploads: Insurance declarations pages, driver's licenses, or vehicle titles you explicitly upload.
- Usage data: IP address, browser type, device details, and basic site usage via cookies and analytics.
2. How we use your information
We use your personal information strictly to:
- Generate quotes from carriers to find coverage that fits your needs
- Communicate with you about quotes, policies, and claims
- Comply with Massachusetts insurance regulations
- Improve our quoting tools and customer experience
We do not sell your information, rent it, or share it for advertising.
3. Who we share it with
We share your information only with:
- Insurance carriers you have asked us to obtain quotes from
- Service providers that operate our systems (e.g., hosting, email delivery), under written agreements that restrict their use of your data
- Government agencies or courts, when required by law or to defend a legal claim
We do not share mobile phone numbers or SMS opt-in data with third parties or affiliates for their own marketing or promotional purposes. SMS providers may process a phone number and the related opt-in record only to deliver messages on our behalf; they may not use that information to market their own or another company's products.
4. Gramm-Leach-Bliley Act notice
QuoteOx Insurance Agency LLC is a licensed insurance producer in Massachusetts and is subject to the Gramm-Leach-Bliley Act (GLBA). This notice supplements the privacy policy above.
Categories of nonpublic personal information (NPI) we collect
- Information you provide on insurance applications and forms (name, address, date of birth, driver's license number)
- Information about your transactions with us or the insurance carriers we represent (policy coverage, premiums, payment history, claims history)
Information we disclose
We do not disclose NPI about our customers or former customers to non-affiliated third parties, except as permitted or required by law — specifically to insurance carriers for the purpose of obtaining quotes and binding coverage, to service providers under contract to perform services on our behalf, and as required by regulators or court order.
Notwithstanding the permitted service-provider disclosures above, mobile numbers and SMS opt-in or consent data are not shared with third parties or affiliates for marketing or promotional purposes.
Because we do not share your NPI with non-affiliated third parties for marketing purposes, you are not required to opt out. However, you may contact us at any time to restrict how your information is used.
Our safeguards
We maintain a written information security program as required by the GLBA Safeguards Rule, including administrative, technical, and physical safeguards to protect your NPI. These include encrypted data transmission and storage, access controls limiting employee access to NPI on a need-to-know basis, and regular review of our security practices.
Former customers
We apply the same privacy protections to the NPI of former customers as we do to current customers.
This notice is provided in accordance with the Gramm-Leach-Bliley Act (15 U.S.C. §§ 6801–6809) and Massachusetts Division of Insurance requirements.
5. Cookies & analytics
We use a small number of cookies for essential site function and basic analytics (e.g., page views, referral source). We do not use third-party advertising trackers. You can disable cookies in your browser; some site features may not work.
6. Your rights
You can request a copy of the personal information we hold about you, ask us to correct inaccuracies, or request deletion (subject to recordkeeping obligations under Massachusetts and federal insurance law). Email us at contact@QuoteOx.com and we will respond within 30 days.
7. Security
We protect your data with TLS in transit, encrypted storage at rest, role-based access controls for staff, and standard administrative safeguards. No system is 100% secure — if we ever experience a breach affecting your information, we will notify you in accordance with Massachusetts breach-notification law (M.G.L. c. 93H).
8. Retention
Quote inquiries that don't result in a policy are retained for up to 24 months. Bound policy records are retained for the duration of the policy plus seven years, as required by Massachusetts insurance recordkeeping rules.
9. Children's privacy
QuoteOx services are intended for adults aged 18 and over. We do not knowingly collect personal information from children under 13. If you believe we have inadvertently collected such information, please contact us and we will delete it promptly.
10. Changes to this policy
If we materially change how we handle personal information, we will update this page and adjust the "Last updated" date above. Substantive changes affecting existing customers will also be communicated by email.
